After company setup: organise your first reporting handover

A practical records and responsibility checklist for an Indonesian business preparing to manage investment reporting through OSS.

Make ongoing reporting part of the setup brief

A newly formed company needs a clear handover from setup to day-to-day administration. Before the formation engagement closes, ask which ongoing reports apply to your actual business, who prepares them and who reviews them. Include LKPM, Indonesia’s investment activity reporting, in that discussion. Have your adviser confirm the applicable obligations, reporting period and current deadline rather than assuming that every company follows the same schedule. The practical aim is simple: each obligation should have an owner and a reliable source of information.

Confirm the correct reporting workflow

OSS publishes different LKPM guidance, including an UMK workflow and a non-UMK workflow for construction or preparation. The latter asks the user to select the relevant business activity and addresses whether it is ready for operational or commercial activity. Ask your adviser to establish which workflow matches your business and its current stage. Use the current account information and supporting records, not a tutorial chosen only because it was the first search result.

Separate planned investment from recorded spending

The non-UMK preparation guide distinguishes the investment plan from realisation through previous periods. Build your working records so those concepts remain separate. Our recommendation is to retain a schedule of expenditure with dates, descriptions and references to supporting documents, then have the person preparing the report reconcile it to the company’s records. Ask how each item should be classified for reporting; do not copy a headline setup budget into a field asking for realised investment.

Maintain a reporting file throughout the period

The UMK guide includes investment realisation, workforce changes and business problems among the information entered in its workflow. That is a useful reminder to organise operational records before a deadline approaches. As an internal practice, keep a short record of staff changes, spending and material issues as they occur. Store personal and financial records securely, with access limited to the people who need them. Your preparer can then determine which information belongs in the applicable report rather than reconstructing events from scattered messages.

Track review as well as submission

The UMK guide shows separate stages for a report being sent, requiring correction and being approved. It also explains how users respond to a verifier’s comments. For the workflow that applies to you, agree who checks status after submission and who handles follow-up. Retain the submitted version, any correction requests and the resulting acknowledgement or approved record. Treat a screenshot of a submission as evidence of that step, not as a substitute for checking the current status.

Request a handover you can use

Ask for a concise handover covering authorised account access, the company’s activity records, reporting responsibilities, the agreed calendar and the location of supporting documents. Test that the responsible person can reach the necessary records before the next reporting cycle. If you need help moving from company formation into ongoing administration, describe your business stage and the support required in Vivo Asia’s enquiry form. Keep account passwords and sensitive documents out of the initial enquiry; arrange a secure process for the detailed review.
